How Do You Correct a Propane Inspection Record After Submission?
Keep the original inspection entry. Add a dated correction that says what changed, why and who reviewed it. This is a proposed office rule. Before staff edit submitted records, check how your app keeps both versions.
Make the correction explain itself
For your correction policy, we suggest naming the original form and field. State the correct value and the evidence for it. Record the date of the correction apart from the visit date. Have the person in charge approve the change.
Suppose the office finds a mistyped equipment ID. Keep what the tech first entered. Add the verified ID and explain the change. Do not make a later correction look like a fact seen at the tank.
Check the record tools before relying on them
Tank Spotter lists customer form history. Use a submitted sample with private details removed. Ask where the office would find the original entry.
The field tools list inspection history too. Ask to see how a correction would appear beside the original visit.
The service catalog lists photo/document uploads. Ask if your correction note can stay with the source document.
Form 4 describes checks for required fields before staff submit a form. Check those apart from the correction process. A filled field does not prove the value is right. Source
Test what a second employee can understand
Ask someone who missed the visit to read both entries. Can they explain the change without calling the author? Agree on who may edit submitted records. Name who approves disputed facts too.
