What Should You Record When a Propane Customer Declines to Sign?

Record that the customer declined to sign. Name the document and the work actually done. Keep the tech’s account apart from what the customer acknowledged. Have your safety lead decide the next step under your approved process.

Describe the event without inventing consent

As a filing practice, we suggest noting the visit date and who was there. Name the document presented. If the customer gives a reason, label it as their reason. If they give none, say no more. Do not sign for them. Do not describe silence as agreement.

Review what work took place and what the employee signed. Check what the customer acknowledged as a separate question. Have your reviewer decide which signature or notice rules apply to this work.

Look at the actual form, not just its signature box

Its safety page lists tech signatures in inspection records. Label the employee’s sign-off clearly. An office reader should not mistake it for the customer’s. Source

The agreement catalog lists a Fuel Delivery Release. Ask your reviewer if it has a role in your example. Do not treat different documents as the same.

The account tools list customer activity/history. Ask where the office would record its next-step decision. Can the next employee find it?

Try the exception before rollout

Bring a sample with private details removed and a blank customer-signature field. Ask how staff can record a refusal and send the question for review. Check that they can save an honest visit record. Agree on the process before staff face it alone.

Questions and answers

Does this page say a customer signature is always optional?

No. Have the form, agreement and work rules checked. This page suggests how to record a refusal. It does not decide if service may proceed. It does not decide a document’s legal effect.
