How Do You Handle Two Inspection Records for the Same Propane Visit?

Compare both entries before removing either one. Find out if staff submitted one visit twice or recorded separate work. Record the reviewer’s decision. Keep a real second visit from becoming a missing record.

Compare the work, not just the customer name

For a duplicate review, we suggest comparing the site and equipment ID. Check the visit time, employee and check type too. Ask staff what each entry means. Two forms on one date may need to stay separate. The date alone is not enough.

Write down the original record IDs and the decision. If the reviewer confirms a repeat entry, use the supported correction process. Explain how the entries relate. Do not delete a disputed entry to clean up the daily count.

Use the published record views as a starting point

Tank Spotter lists All Inspections. Ask to find both sample entries together. Compare what the office can see.

The account tools list customer form history. Can the person reviewing the account explain why both forms exist?

The safety page describes inspection records with date and time stamps. Compare them with the actual visit details. Matching dates alone do not decide the case.

The reports catalog lists tank inspection analytics. Ask how a confirmed repeat entry affects your report. Do not assume the system removes it on its own.

Give the demo two different cases

Bring a pair confirmed as one submission repeated. Remove private details first. Also bring two valid records for different work at one site. Ask how staff can tell the cases apart. Check that the history explains each decision.

Questions and answers

Can we assume automatic duplicate detection?

The cited catalog entries do not promise that feature. Ask about matching rules and review controls. Check how a correction affects counts before relying on the reports.

Book a demo with a duplicate pair and a legitimate repeat visit to test the difference.
