How Do You Prepare for a Propane Insurance Audit?

Prepare for a propane insurance safety audit by asking for the scope and record request in writing. Build the packet around that request, then trace a few jobs from check to follow-up. Flag gaps before the visit. The reviewer decides the result. Keep a traceable record so the office can find each job when asked.

Start with the audit you have

Ask which sites, dates and record types are in scope. Assign one office contact to gather the files and track questions. Use the actual request rather than a checklist borrowed from a different account.

Walk through one job

As a practice review, choose a recent tank check. Find the form, the result and any open issue. Then choose an older job with a repair. Can the office show how the follow-up connects?

If something is missing, list it as a gap. Do not rewrite an old record to make it look complete.

Keep training evidence in view

For hazmat employee training, 49 CFR 172.704(d) calls for a record with the worker's name, completion date, materials, trainer details and training-and-testing certification. Check that file group if the review calls for it.

Use Tank Spotter's safety forms page to compare the field records with your packet.

Questions and answers

Will buying software guarantee an audit pass?

No pass is promised here. Bring the reviewer’s requirements to your demo and check the actual records.

What should we do with an open issue?

Show its status honestly. Name the owner and the planned next action in the packet you prepare.

Should we make up a missing date from memory?

Flag the missing entry and ask how to document a correction. Keep the original record visible.

What is a useful rehearsal?

Pick one completed job and one unresolved job. Ask someone outside the daily filing process to trace both from the records.
