What Should Happen to Propane Service Records When a Home Is Sold?
Keep the new occupant’s account setup apart from the property’s past work. Have the office check the parties, agreements and tank ownership before changing the account. Keep the record of who requested and did the earlier work.
Review the change before relabeling the history
For an account-change checklist, we suggest starting with the address. List the old and new accounts. Add the reported start date and equipment ID. Have the person in charge check who owns the tank. Check the agreements against the documents too.
Keep “new occupant reported” apart from “new service approved.” Have your safety lead decide which work and checks are needed. An old visit should still name the people and work from that time.
Look for the paperwork for the new relationship
Tank Spotter lists an Occupant Certification. Ask your reviewer if it fits this account change. What should it contain?
The catalog also lists a New Customer Propane Service Agreement. Compare it with the agreement your company approved for the new customer.
The account tools include customer locations. Ask to see the same address before and after the change.
They also list customer assets/tanks. Check if staff can follow the equipment through the account change.
Test the view for the next service employee
Use a home-sale sample with private details removed. Ask a service employee to find the current contact and relevant agreement. Can they find the last recorded work date? Have your privacy reviewer decide which old details each person should see.
Questions and answers
Does keeping history mean sending the old customer's complete file to the buyer?
Do not make that your default. Have the right reviewer decide access and disclosure. This is a filing plan for an account change. It does not settle ownership or transfer rights. It gives no permission to resume service.
